Privacy Policy: SMS Communications Addendum

Program: WHEA/IQ Weatherization Program, administered by TRC Effective Date: June 26, 2026

Introduction

This SMS Communications Addendum supplements the ImpactHub Privacy Policy and governs the collection, use, and protection of mobile phone numbers and opt-in data in connection with ImpactHub text messaging programs, including notifications delivered in support of TRC's WHEA/IQ Weatherization Program. In the event of a conflict between this Addendum and the general Privacy Policy, this Addendum controls with respect to SMS communications.

1. Information We Collect for SMS

When you opt in to receive SMS communications from ImpactHub, we collect:

Your mobile phone number
The date, time, and method of your opt-in (form submission, verbal consent, or digital acknowledgment)
Your consent status and any opt-out or opt-in events
Message delivery and engagement data provided by our SMS service provider

This data is maintained separately from general platform data and is used exclusively to operate the ImpactHub SMS program.

2. How We Use Your Mobile Number

Your mobile phone number and SMS opt-in status are used solely for the following purposes in connection with the WHEA/IQ program:

Delivering Marketplace lead alerts to enrolled contractors when a new qualified lead matching their service area is posted
Sending scheduling confirmations, availability reminders, and appointment updates to contractors and program participants
Notifying participants and homeowners of IQ Audit status, project progression, and audit completion milestones
Processing opt-out and re-enrollment requests
Maintaining records of your consent for compliance purposes
Troubleshooting message delivery issues

We do not use your mobile number for automated marketing or promotional campaigns unrelated to your program participation without your additional consent.

3. No Sale or Sharing of Mobile Opt-In Data

ImpactHub does not sell, rent, trade, lease, or otherwise share your mobile phone number or SMS opt-in data with third parties for their own marketing or promotional purposes. Mobile opt-in information is not shared with any third party for marketing purposes.

This prohibition applies regardless of whether those third parties are program partners, program administrators, affiliate organizations, or data brokers.

We may share your mobile number with the following categories of service providers solely to operate the ImpactHub SMS program:

Our SMS aggregator or carrier platform (e.g., Twilio, Bandwidth, or similar) for message delivery
Compliance and audit vendors who assist with 10DLC registration and messaging regulatory compliance

These service providers are contractually prohibited from using your mobile data for any purpose other than operating the ImpactHub SMS program. Program administrator TRC does not receive individual mobile numbers or opt-in records. TRC may receive aggregated, de-identified program communication reporting only.

4. Data Retention

ImpactHub retains SMS opt-in records, opt-out records, and associated consent documentation for a minimum of 4 years to comply with applicable telecommunications and consumer protection regulations. After this period, data is securely deleted unless longer retention is required by law.

If you opt out of ImpactHub SMS communications, your phone number is removed from active messaging lists immediately. Your opt-out record is retained to honor your request and prevent re-enrollment without your consent.

5. Security

ImpactHub implements technical and organizational safeguards to protect SMS opt-in data, including:

Encryption of mobile number data in transit and at rest
Role-based access controls limiting who can view or modify SMS consent records
Audit logging of access to and changes in SMS opt-in data

6. Your Rights Regarding SMS Data

In addition to the rights described in the ImpactHub Privacy Policy, with respect to SMS data you may:

Request confirmation of whether ImpactHub holds your mobile number in an active SMS list
Request deletion of your mobile number and opt-in records (subject to applicable compliance retention requirements)
Withdraw consent at any time by replying STOP to any ImpactHub SMS message

Withdrawing SMS consent does not affect your enrollment in or eligibility for the WHEA/IQ Weatherization Program. To exercise these rights, contact us at support@theimpacthub.ai or ace.theimpacthub.ai.

7. Changes to This Addendum

ImpactHub may update this SMS Communications Addendum from time to time. The current version will always be available at theimpacthub.ai/privacy. Material changes will be communicated via the platform or by SMS notice to active subscribers.
